Vault Rooms review

Vault Rooms aims to provide a comprehensive solution enabling users to streamline the sharing and storage workflow for even the most data-intensive projects. To that end, it offers two solutions: the cloud-based Vault Rooms VDR plus its own RLM (Request List Manager), an ideal service for preparing, receiving, and verifying lists of document requests from clients during audits, estate planning, loan applications, and more.

Established in 2006 and based in a single office in North Carolina, the company has a sizable presence in the global VDR market. Although it’s priced at a premium, it gives users a chance to get to know its feature-rich platform in a 14-day free trial. Pricing is flexible, with monthly and annual plans, plus a custom pay-per-feature option great for more conservative users.

Web- and cloud-based, Vault Rooms brings to bear a wealth of available features, which according to the plan you choose can include your own dedicated project manager and extra security functionalities such as custom password policies. Features such as audits and reports, search capabilities, and custom watermarks are available for all plans.

Built to work with large amounts of files, Vault Rooms is a great solution for large corporations and complex operations such as M&A and financing. That said, the service has a lot going for smaller businesses that may simply need a secure storage and sharing platform, although at a slightly onerous cost.

Deployment

VaultRooms is deployed as a web-based solution. While it doesn’t offer dedicated apps for either Android or iOS operating systems, you can still access it from any device with a browser and internet access.

The Vault Room data room also relies on cloud storage (AWS), meaning your data will not be stored in any local data centers. This is the most common type of storage for VDRs, and the most secure option available at this price range.

  • Web-based
  • Android
  • iOS

Security

One of the highlights of the Vault Rooms solutions is the security aspect. Compliant with SOC-2 and ISO27001 — both key indicators for privacy and data protection —, Vault Rooms deploys a host of capabilities to ensure your data is kept safe from leaks, breaches, and cyber attacks of all kinds.

These capabilities include:

  • 2048-bit encryption. Encrypted in transit and at rest, your data is kept safe from prying eyes
  • Firewall and intrusion alert. Protects the platform against breaches
  • Audit tracking and reporting. Allows you to verify user actions such as accesses, views, and downloads, as well as logon data (IP address, time logged)
  • Multiple security access levels. Control what your users can view or do on the platform. You can enable or restrict access to given files or folders, add users to permission groups, and so on
  • Custom password and access policies. Set specific requirements for user passwords, preventing users from employing vulnerable, easily decrypted passwords
  • Two-step authentication. Users can be required to add an extra, vital layer of security to prevent unauthorized accesses and account hacks
Security Compliance:
  • SOC-2
  • ISO27001
